Position Statement
As an Office Coordinator or Manager, you should ensure the smooth running of the Shanghai office in collaboration with all relevant parties. You will be accountable for handling all Administrative jobs for China office staff.

Key Tasks and Responsibilities
Administration
· Liaise with Landlord and Facilities regarding rent payments and to problem-solve. Ensure compliance with lease terms;
· Maintain an adequate level of office supplies (including but not limited utilities, cleaners, repairs and maintenance, contractors, copy machines, computer equipment, etc.)
· Handling the annual Office License renew and inspection for the both HK and SH entities;
· Book travel and accommodation using approved travel agencies and in compliance with company policies and guidelines;
· Handling the coordination of all inbound and outbound parcels from a process and policy perspective;
· Monitoring the sample shipments and making records at Sample Logs on daily basis
· Supporting any special projects related to the office or lease including helping identify additional office space if needed based on growth and helping coordinate offices moves in the event we need to do for the future;
· Working with HR and IT to ensure the smooth onboarding and exit of staff. Ensuring a proper working environment is available on the first day of employment, including desk, telephone, chair and computer
· Mini Warehouse sourcing for the accumulated office documents and others.
IT
· Familiarity with IT and China Telecom from a facilities perspective including coordinating with vendors and bidding projects;
· Closely work with PHO and CHO IT for the system testing; upgrading, etc.
Finance
· Preparing annual budget; scheduling monthly expenditures; making the weekly bank/ cash/ activity reports;
· Working with PHO finance for the Courier charge back bill on monthly basis.
· Analyzing variance; managing staff’s cash allowance and cash reimbursement;
· Closely work with New York Finance team and 3rd parties for the monthly bookkeeping and the yearly/ seasonal audits;
· Coordination with 3rd parties for the monthly, seasonal and the annual Tax Declarations.
Qualifications
Professional Knowledge and Skills
· Minimum 3 years’ experience in a fast-paced customer facing environment.
· Solid knowledge of Microsoft Office; Familiarity with Finance and IT technology.
· Diploma or degree holder
· Proficiency in Mandarin Chinese and English (verbal, reading and writing).
· Loves a dynamic office. Level headed and good under pressure. Always discreet and professional.
· This position will be based in Shanghai, China
