JOB TITLE Executive Assistant DEPARTMENT Non-academic
SUPERVISOR Bursar
OBJECTIVES
The Executive Assistant is a key support role in the areas of providing secretarial and administrative support to the Bursar. Working closely with the Bursar, non-academic and academic team, the Executive Assistant must possess the skill to work effectively, time-sensitively and professionally at all times.
Under the direct line management of the Bursar, the Executive Assistant must support the Bursar to ensure the smooth daily functioning of the Bursar’s office within the setting. The Executive Assistant must also operate in a timely resolute and effective manner at all times. The Executive Assistant also serves as a liaison to the School Affairs Committee and senior management teams, organizes and coordinates outreach and external relations efforts, and oversees special projects. The professional image and conduct of this person is crucial in emulating the ethos of the setting. Autonomous, determined and professional behavior will be key features of the post-holder’s practice and these will be consistently demonstrated at all times. The post holder must be able to communicate effectively with team members and external agents involved in WCCBS.
KEY RESPONSIBILITIES:
1. Provide secretarial support to the Bursar;
2. Completes a broad variety of administrative tasks for the Bursar including: managing calendar of appointments and meetings, teleconferences; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging travel plans, itineraries, agendas and other daily work schedules;
3. Assist the Bursar prepare presentations, reports, correspondence and other documents as assigned;
4. Translate documents for the Bursar when needed;
5. Act as an Interpreter in meetings with Chinese Authorities, Companies or other bodies
6. Provides a bridge for smooth communication between the Bursar’s office and internal departments, demonstrating leadership to maintain credibility, trust and support with staff;
7. Be responsible for general administrative support to the non-academic team;
8. Assist and organise logistics for internal meetings and external visits or events;
9. Draft communications, planning and organising events;
10. Managing and reviewing filing and office systems;
11. Liaise with local government authorities on behalf of the College;
12. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
13. Other duties as assigned by the Bursar;
JOB QUALIFICATIONS:
BASIC QUALIFICATION
Education Bachelor’s degree
Major Business Administration, Language, or related subject
Language Excellent written and spoken English and Chinese
EXPERIENCE
Working Experience- Preferably 3 years and above of relevant experience, ideally in a context that includes international staff
Management Experience- Experience in project management or management of team is advantageous
EXPERTISE
- Experience of working in an early years’ / educational setting preferred
- Fluency in English and Chinese
- Outstanding ability to interact in a positive and friendly way with all staff through effective Customer service orientation and excellent interpersonal skills
- Excellent communication skills with a diverse range of people and interpersonal skills
- Ability to deliver excellent service at all times, high level organisation and time management skills with consistent use of initiative
- Rigorous approach to problem-solving
- Discrete and sensitive to confidentiality
- Highly accountable, self-motivated, detailed oriented, professional, independent and mature
- Advance technology user skills in Microsoft Office to prepare reports (Excel, Word, Power Point etc) and aptitude to operate appropriate databases
- Ability to work independently and with high level of autonomy
- Ability to multi-task and prioritise
- Ability to work under pressure, tight timelines
- Able to work long hours and occasional weekends for events
