General Purpose
The Admin Specialist primary responsibility is to provide office administration to shanghai office. Execute and assure that office support meets the requirements,
perform a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.
Main Job Tasks and Responsibilities
Responsible for the daily operations of office administrative procedures. Handle general administrative duties including travel and meeting arrangement.
Responsible for flight booking, reservation & travel agency coordination for SH employees and global visitors.
Play as the key contact window with function employees to ensure timely response on team requirement and quality services delivered;
Coordinates part of or all administrative activities such as transportation arrangement, stationary supplies, snack order etc.
Monitoring Admin monthly payments terms, provide qualified spending report/analysis as needed;
Office equipment/fixed assets registration and maintenance.
Operate the daily maintenance of office supply including equipment and facilities to make sure the office in a good condition;
Office admin news update.
Keep the office environment in order and clear.
Maintain and manage office filling and storage systems
Plan, organize and follow-up on details related to company activities. Such as office annual dinner, employee monthly meeting etc.
Office security alarm issue follow up.
Evaluation and review admin supplies' performance with all internal users to ensure their services' quality.
Standardization payment process and implement in Admin team to ensure all monthly payment in time / Raise PO in Oracle system.
Actively involved in Company Cost Savings campaign.
Supporting admin team leader on global visitors china visit, company events and offices construction project etc.
Keep proactive contact with customers. Sort out and update all admin documents file time to time.
Back up reception duties as needed. (20%)
Any other tasks assigned by the team leader.
Education and Experience
Bachelor degree, at least 2 year related working experience
Good command of English and Chinese
Be familiar with PC application such as Word, Excel and Power Point
Good at communication and team work spirit
Possess positive work attitude with good communication and interpersonal skills and follow-up capability;
Must be comfortable and competent working in a customer service oriented culture.
Excellent professional ethics, strong analytical and problem solving skills
Relevant experience in multinational company is preferred
