Executive Secretary
Job Description
SHKYDCH Program
Mission: The Sir Horace Kadoorie Youth Development Centre for Hospitality (SHKYDCH) is
committed to provide Mainland China’s disadvantaged youth the opportunity to learn a trade
and develop as a whole person so that they may join the growing hospitality industry and lead a
productive and dignified life while positively contributing to society.
Overview: The Executive Secretary is responsible for supporting high-level executives,
management and entire departments. This individual will provide administrative support and
perform a wide range of duties, including scheduling, writing correspondence, emailing,
handling visitors, routing callers, and answering questions and requests.
Primary Responsibilities
Secretarial and Administrative Support for Executive Director
? Coordinate departments and individuals.
? Coordinate committees and task forces.
? Relay directives, instructions and assignment to executives.
? Schedule meetings and arrange conference rooms.
? Prepare agenda for meetings.
? Alert about cancelations or new meetings.
? Prepare correspondence and coordinate delivery.
? Prepare confidential and sensitive documents as directed.
? Take and transcribe dictation.
? Prepare statistical reports.
? Manage travel and schedule.
? Handle out-of-pocket expense reimbursement.
? Greet and receive visitors.
? Other tasks as required by Executive Director
Office Administrative Assistance
? Coordinate office management activities.
? Maintain office procedures.
? Help prepare office budget.
? Handle hotel and ticket bookings for travel.
? Perform cashier duties.
? Take charge of office equipment, such as photocopy machine and scanner.
? Archive and maintain hard copy and electronic filing system.
? Receive and relay telephone messages.
? Handle information requests.
? Direct the general public to the appropriate staff member.
? Arrange for outgoing mail and packages to be picked up.
? Participate in preparation of events and activities as needed.
? Other duties as needed.
Minimum Requirements:
? Bachelor's Degree or above in Business Administration, English or related field
? Minimum of 5 years secretarial and administrative experience in a multinational work
environment
? Fluent in Chinese and English both oral and written
? Excellent Communication Skills
? Interpersonal skills and ability to collaborate with colleagues is essential
? Strong computer and MS Office proficiency (with word processing, presentation, graphics
and spreadsheet software)
? Proven ability to take on a variety of different tasks without becoming overwhelmed
