职位描述

We are looking for an Administration Manager to join our new, growing, team in Shanghai to be responsible for the studio’s administrative, HR and support management, be responsible for the financial reporting on projects, provide marketing and secretarial support to the Studio Architect Director, generally to make our business run smoothly and efficiently. Main responsibilities include:


· Managing office facilities, Furniture and furnishings, equipment, stationery, catering/refreshments supplies and phone systems at a high standard, which matches our premier corporate branding image;

· Development and Implementation of office procedures;

· Managing Staff Insurances, Office Insurances, Professional Indemnity Insurance and coordinate with Central Secretariat;

· Management of the company seal and ensure conform to the approval procedures;

· Management of office registration documentation and its annual inspection;

· supervision of the Receptionist;

· Coordination of IT Support with the local support provider, corporate IT Service Desk and central IT services to ensure company’s IT requirements are met and IT problems/issues are resolved in a timely manner;

· Personnel management in relation to staff recruitment, employment/starters, dismissal/leavers, employment contract, staff record creating and maintenance (on Paper and Corporate HR System), staff attendance/absence, timesheet records/authorisation, holiday/sickness records, performance/appraisals, monthly payroll and administrative personnel matters;

· Initiation and coordination of work and residence permit, visas for employees as required;

· In conjunction with the Financial and Accounting manager ensure staff availability reports and workload graphs made available to the Studio Chairman and Studio Architect Leader on a timely basis each month;

· Work with Financial and Accounting Manager as/when required;

· Assistance in dealing with bidding activities and other marketing support as required;

· PA support to the Studio Architect Director and other general office administration;


The Person:


The ideal candidate will:

· Have a degree, preferably in business administration or management;

· Be proficient in both verbal and written English and Mandarin (a Must);

· Extensive working experience in similar position in MNC;

· Have in-depth knowledge of office and HR procedures and administration management;

· Have analytical and strategic problem-solving capabilities;

· Have good communication skill, enthusiastic and focused;

· Have strong interpersonal skills with a ‘can-do’ attitude and be a team player;

· Be organised and methodical, able to prioritise tasks and work to deadlines;

· Be accurate, and have a good eye for detail;

· Have excellent practical knowledge of MS Office applications including Word, Excel, Powerpoint and Outlook;
