The Role:
行政专员兼前台
We are looking for a Receptionist to join our Shanghai studio and help our Administration Manager to make our business run smoothly and efficiently. Key tasks will include:
Incoming phone calls handling and Visitors meet and greet
接听呼入电话并处理以及访客接待;
Sort and distribute incoming & outgoing mail/deliveries
负责邮件及快递收发
Assist in stationery stocking and records
协助检查办公用品使用情况并及时订货及做好相应记录
Refreshments stocking and records
协助检查茶水食用情况并及时补充必需品及做好相应记录
Meeting arrangements and meeting room management
会议安排及例行会议室管理;
Hotel room, flight, shuttle bus booking and other travel assistance
为员工出差提供酒店,机票和车辆预订服务以及其他差旅协助;
Arrange printing, translation and services as required
根据需求和要求安排各类打印、翻译等服务并做好相应审核及记录;
Timesheets collection and maintain staff holiday schedule– make sure all studio timesheets are completed and authorised in a timely manner each week & holiday schedule is up to date;
考勤表及员工假期安排表的管理
Telephone maintenance and coordination with service provider in case of breakdown, including mobiles
电话/传真/公司手机系统的管理与维护;
Print address labels/CD labels as/when required;
按公司标准格式制作各类相关文件
Other admin support
支持行政经理其他事务和工作
The ideal candidate will:
Have a degree in Public relations or similar
本科以上学历,最好是公共关系或类似专业
Be proficient in both verbal and written English and Mandarin
普通话标准、流利的英语口语及写作表达能力
Good communication skill, enthusiastic and willing to help
善于沟通、有高度的工作热情及服务意识
Friendly, Conscientious, can work under pressure
待人友善、责任心强、能够承受工作压力
Attention to detail, able to complete tasks accurately and in a timely manner;
做事细心,能及时并准确无误地完成各项任务;
Able to work independently with minimum supervision;
有独立工作的能力;
Good at identifying problems and resolving them effectively
善于发现问题并解决问题;
Have strong interpersonal skills with a ‘can-do’ attitude and be a team player
亲和力强、有勇于尝试及团队精神;
Have excellent practical knowledge of MS Office applications including Word, Excel, Powerpoint and Outlook
熟悉办公软件
1 years or above previous experience in a similar role would be desirable
1年以上相关工作经验, 熟悉前台工作流程;
Overseas experience or work experience in a foreign enterprise an advantage;
有海外学习或工作经历、或有外企工作经历者优先考虑;
Candidates with recommendation letters from previous employer(s) preferred;
被前雇主极力推荐并有推荐信的优先考虑;
