Position Title: General Accountant
Reports To: S&F Manager – M&M’s World Shanghai
Purpose of Role:
This position is responsible for administration of Accounts Payable and Sales Audit for the M&M’s World Shanghai store. This includes assisting in the maintenance of the general ledger in accordance with company policies and procedures.
Principal Accountabilities
General Ledger Responsibilities:
o Assist in the flow of GL activities in order to accomplish a 3-day period-close (i.e., create and input journal vouchers, analyze GL accounts and cost reports)
o Prepare reconciliations and analysis for balance sheet and related expense accounts to ensure the integrity of financial data
o Understand and document the transactions related to inventory, cost and PPV in a number of different legacy systems (SAP and JDA)
o Manage period-end activities related to COGS, PPV and inventory. Prepare necessary journal entries related to these area in order to allow for accurate financial statement presentation
o Maintain cost for items in the system when appropriate
Accounts Payable
o Reconcile and process invoices related to merchandise inventory and direct store expenses.
o Investigate and resolve invoice discrepancies with appropriate department and/or authorizing manager
o Daily verification of invoices using SAP, this includes amounts, terms of purchase order, and coding to general ledger
o Prepare period close journal entries to correct the general ledger for incorrect postings.
o Prepare accruals for unpaid items at the end of each period to ensure that liabilities are accurately recorded
Sales Audit
o Performs the daily sales audit of the poll files from M&M’s World Shanghai cash tills using SAP Retail system
o Performs an audit of M&M’s World Shanghai daily paperwork to ensure that transactions are properly recorded, agree with the daily poll files, adequate support is provided, and in accordance with company policy. When store errors have occurred, the data must be corrected manually.
o Maintains weekly store register reports checking for accuracy, unusual or significant returns, cost of sales reasonableness, significant cash over or short variances, proper store use of funds, and unusual discounts. Investigates and resolves discrepancies.
o Manage all Period-end sales activities for M&M’s World Shanghai store. Coordinate flow of general ledger activities in order to accomplish a 2 day period.
o Interacts with M&M’s Shanghai store managers and ensures efficient and timely communication of changes and issues in the sales audit area.
o Assist in ensuring an adequate internal control environment as well as make recommendations regarding improvement of internal controls.
o Process bank deposits/cash receipts as needed.
Additional Responsibilities:
o Assist in ensuring an adequate internal control environment as well as make recommendations regarding improvements of internal controls. Travels to M&M’s World Shanghai store location on a periodic basis.
o Perform ad hoc financial analysis as required
o Ability to train new associates and managers on related systems and accounting procedures
o Perform other duties as assigned to balance workload across the department and provide back up for other Service and Finance positions
Key Functional Skills/Knowledge
o Strong technical knowledge related to fixed asset and project management accounting concepts and transactions
o Strong technical knowledge in the area of Accounts Payable
o Proficiency with fixed asset/project management systems as well as Microsoft Office
o Knowledge of accounting procedures including cost centers and account structures
o Knowledge of debits, credits, assets, and liabilities as to what they are and how they work together
