Job Summary:
As an Administrative Assistant you provide administrative support to the GC Sales VP. Responsibilities include a wide variety of duties which may include travel arrangements, calendar maintenance, departmental reporting, presentation and reports preparation, meeting coordination, ordering of supplies, and more. You will utilize an array of business software applications such as word processing, spreadsheet, presentation software, databases, and email to support completion of activities. To be successful you will have strong interpersonal skills to handle sensitive and confidential situations; analytical abilities in order to gather, organize and summarize information; and strict attention to detail in composing, writing and proofing communications.
Essential Functions:
- Schedule and organize activities such as meetings, travel, conferences and department activities for members of the department.
- Work closely with VP and senior management on issues/projects of a highly confidential nature related to employee information, legal matters, and company information; maintain strict confidentiality.
- Arrange detailed domestic and global travel plans and itineraries compile documents for travel-related meetings for the Vice President.
- Act as the project and logistic manager for meetings.
- Perform desktop publishing. Create and develop visual presentations.
- Establish, develop, maintain and update filing system for the VP. Retrieve information from files when needed.
- Organize and prioritize large volumes of information and calls.
- Sort and distribute mail. Draft written responses or reply by phone or e-mail when necessary.
- Respond to regularly occurring requests for information.
- Answer phones for the VP. Take messages or fields/answers all routine and non-routine questions.
- Act as a liaison with other departments and outside agencies, including high-level staff such as CEOS, Senior Vice Presidents and Chiefs. Handle confidential and non-routine information and explain policies when necessary.
- Work independently and within a team on special nonrecurring and ongoing projects. Act as project manager for special projects such as: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
- Type and design general correspondences, memos, charts, tables, graphs, business plans, etc. Proofread copy for spelling, grammar, and layout, making appropriate changes.
- Assist with various research projects and/or special projects.
Job Requirements:
- Good written and verbal communication skills.
- Ability to edit copy or communications for accuracy and clarity of final copy.
- Strict attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
- Knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment.
- Good interpersonal communication skills and ability to communicate with employees at all levels of the organization, including Executives.
- Solid Microsoft Office skills including Word, Excel, PowerPoint and Outlook.
- Ability to maintain strict confidentiality.

- The types of tasks this individual is responsible for are a mix of regular and unstructured, and processes they use to complete work are not always clearly defined.
- This individual has developed an area of expertise and handles a variety of tasks that are moderate to complex in scope.
- Identifies problems and generates recommendations and possible solutions.
Interaction:
- This individual interacts primarily with Staff to Director level employees within the function. There may be interaction with employees in other functions as required.
- Utilizes strong communication and interpersonal skills to promote teamwork; and motivate, coach and guide other team members.
- Little instruction is provided by management on routine work, and general instructions are provided on new projects and assignments.
- The ideal candidate will be an important contributor to team projects, and may act as team lead.
Education & Experience:
- A minimum of 3 years related experience is required.
- Degree or related college level coursework is desirable.
