Position Summary:
Reporting directly to the VP of Business Development, the Office Administrator manages a variety of general office activities by performing the duties listed below.
You’ll Do:
? Analyzes and organizes office operations and procedures such as bookkeeping, non-confidential personnel information, filing systems, requisition of supplies, and other clerical services
? Responsible for tracking and making available individual schedules for Shanghai team on events such as interviews and corporate meetings and manage office conference room scheduling
? Maximizes office productivity through proficient use of appropriate software applications
? Researches and develops resources that create timely and efficient workflow
? Plans office layout, develops office budget, and initiates cost reduction programs
? Reviews clerical and personnel records to ensure completeness, accuracy, and timeliness
? Coordinates activities of various clerical departments or workers within department
? Ensures timely processing of accounts payables for the office expenses to avoid surcharge and late payments
? Monitors annual subscribed matters such as Insurance, antivirus software, warranty of office equipments to avoid discontinue of coverage
? Oversee all office supplies to minimize unnecessary expenditures. This includes sourcing better and less expensive services provider to cut office expenses
? Consolidate the samples submissions to avoid excess courier charges
? Filing of the invoices and debit notes which verified by the VP of Business Development
? Maintain the fixed asset list for Shanghai office
? Other duties may be assigned

? A Bachelor’s Degree (BA) or two years of related experience and/or training; or equivalent combination of education and experience
? 2-3 years of office administration experience preferred
? Proficiency using Microsoft Office applications (Excel, Word, PowerPoint, and Outlook)
? Fluent in English
? Strong verbal and written communications skills
