Position Summary:
The Receptionist/Office Administrator is responsible for increasing organizational efficiency and supporting the Shanghai office by coordinating with staff, contractors, vendors, consumers and others. This position will also provide administrative support to the VP of Business Development, with office management tasks such as ordering supplies, organizing common spaces, working with vendors and has responsibility for the phone system. The position reports to the VP of Business Development.
You’ll Do:
? Reception: Maintain a professional and courteous corporate image in the reception area and in answering the main telephone line. Duties include, answering questions about the organization, products information and other information as needed; welcoming on-site visitors, determining nature of business and announcing visitors to appropriate personnel; and monitoring visitor access when required
? Meetings: Arrange internal and external meetings when needed; coordinate conference rooms when needed; and assisting with catering requests
? Events management: Assist and arrange classes, seminars, trainings and meetings for social activities or functions
? Show room/ meeting rooms: perform house-keeping duties, maintain the tidiness and make sure samples and displays are kept in presentable manner, keep track and maintain stock level of products on regular basis
? Travel: Oversee relationships with local hotels and travel company, arrange travel for executives
? Kitchen: Maintain office kitchen, stock and order supplies (milk, coffee, paper goods), etc.
? Office Supplies and Mail Room: Responsible for the purchasing, stocking and cleanliness of the office supplies, own the relationship for postage, SF Express and Fed Ex, distribute employee mail, keep stock and distribute stamps for employee purchase; make special post office trips as needed File Management: manage relationship with vendors, schedule pickups and monitor required facility inspections
? Provide various general office administrative support as needed
? Provide administrative support to China Sales/ Marketing
? Performs other clerical duties as needed, such as filing, photocopying, scanning, binder creation, and collating
? Maintains office services by organizing office operations and reviewing supply requisitions; and monitoring clerical functions while taking cost rationalization into account
? Maintains the Employee Emergency Contact information
? Other duties may be assigned.
Bring It!
? 3+ years of recent experience in an administrative support role with office functions
? Bachelor’s degree is a plus
? Excellent phone answering skills and ability to handle multiple calls simultaneously
? PC skills: knowledge and proficiency in Microsoft Office tools (Word, PowerPoint, Excel), MS Outlook and the Internet with quick and accurate typing skills
? Good command of spoken and written in English and native in Putonghua
? Ability to exercise good judgment on highly sensitive and confidential matters
? Ability to work independently with minimal direction, strong written/verbal communication skills, good grammar, strong organizational skills and attention to detail, ability to prioritize and multitask
? Upbeat, creative, fun, and learning attitude is a MUST
