PURPOSE:

Responsible for providing support in the various human resource functions as well as office administration ensuring high quality hiring, training, development programs and activities.

ESSENTIAL FUNCTIONS / MAJOR RESPONSIBILITIES:


Human Resources:
? Responsible for general staff recruiting and offering process. Assist HR Manager with recruiting for managerial positions when required.
? Maintain interview record, talent pool and track recruitment channels/costs.
? Work with HR vendor to prepare China payroll for manager’s approval. Guide and monitor HR vendor to handle social insurance, housing fund and other related legalities issues in accordance with statutory requirements. Arrange pay slip distribution either manually or via online system.
? Responsible for salary survey raw data submission on annual basis.
? Monitor overtime status and trends, conduct attendance and OT analysis regularly to highlight issues and risks.
? Responsible for the regular data/file update and input into Ascentis. Maintain data integrity and accuracy
? Responsible for the on boarding procedures for new employees. Follow up on new staff probation reminder. Organize Group Orientation periodically.
? Handle staff exit procedures. Conduct exit interviews for voluntary leavers at general staff position and make notes.
? Manage P-file for local staff.
? With guidance from manager, work on annual learning needs survey and plan annual training calendar at year beginning.
? Lead to follow up internal TTT program, set up internal trainer pool and drive internal training.
? Follow up on the organization of training events: training preparation, implementation, and evaluation.
? Assist manager to design effective learning programs
? Lead to review and renew commercial insurance programs for both local and non-local staff. Handle changes when staff join or leave the company. Coordinate insurance claims and conduct analysis to highlight trends and phenomena to manager.
? Manage HR contract log (non-labor contracts). Conduct due diligence review for all major contract review and present options to manager for decision. (This mainly refers to regular operational contracts like Caliper, Head Hunter, and job boards etc.)
? Work on other HR projects/tasks assigned by HR Manager

Administrative duties:
? Review company car, hotel and travel agency agreements, monitor and track service quality. Suggest improvement if there is any.
? Responsible for hotel, cross boarder through car arrangement for VIP visitors
? Participate and organize monthly employee birthday parties
? Visa Invitation Letter to visitors.
? Act as a back up to Receptionist on office supplies purchasing and office maintenance.
? Assist to manage and organize CIRT activities and other office events and meetings
? Other admin duties assigned by manager.

Other related duties as required or assigned.

ESSENTIAL REQUIREMENTS OF POSITION:

? University / College graduate in Human Resources, Administration, Business or related field
? At least 3 years solid experience in Human Resources generalist role. Has in-depth understanding in one HR function and basic understanding in most of the 6 HR functions.
? Good command of English and Mandarin, both written and verbal.
? PC knowledge (MS Word, Excel, PowerPoint)
? Able to think analytically and follow up systematically
? Strong attention to detail and accuracy is essential.
? Well organized, ability to prioritize, maintain focus and follow-through
? Good time management and organization skill
? Hardworking, team oriented, strong ethics, sense of urgency, detail-oriented
? Able to work independently and under pressure in a dynamic environment
? Tactful, mature and able to communicate with all levels of people


PREFERRED KNOWLEDGE/SKILLS/ABILITY:

? Previous experience on Administration Management
? Good presentation and negotiation skills
