Newly created position and a standalone role within fast paced, highly driven, vibrant and fun international office in CheungD u (WOFE). You will be supporting all Office Administration functions while working closely with the Managing Director as his Personal Assistant.

You will have a mature head on your shoulders while being an energetic, proactive, task master with a positive, can do attitude. Have superior communication and relationship building/managing skills. Be flexible with the ability to focus on a single task while simultaneously following up on various other duties and responsibilities to meet the needs of your role and the business. Have a genuine desire to exceed expectations by providing first class support to your colleagues and Managing Director. Finally, adopts a“hands on” approach matched with an attitude that no task is too big or small!

Duties and responsibilities;

工作职责

· Personal Assistant - Travel arrangements for executive management, diary management, organise boardroom meeting with clients and internal stake holders, meeting minutes, general support and organisation of busy MD within a fast paced , highly driven office environment. Event & VIP hosting and entertaining.

· 个人助理——管理成人员差旅预定;日程管理;组织客户会议及内部会议;会议纪要;为总经理提供一般支持;公司活动及贵宾活动的组织及主持;

· Administration– Front of house, communications, mail, filing, IT support (liaise with suppliers/help desk) and general support to project management & design teams when required.

· 行政——前台接待,通讯沟通,邮件收发,文件归档整理以及IT支持(与供应商及求助后台保持联系)并对项目团队及设计团队提供一般支持。

· Finance– Manage purchase orders/invoicing/payments (office and project related), manage petty cash &expenses, and assist Finance Manager with ad hoc duties.

· 财务——管理采购下单/票据/支付事宜(办公室及项目相关部分),管理行政资金与收支,协助财务经理办理特定事宜。

· Facilities–General upkeep of office image and management of related suppliers (cleaners, office supplies, building management etc.)

 设备管理——维护办公室日常运营状态及形象并管理相关供应商(清洁,办公用品,物业等)


Experience;

经验

· Excellent written and spoken English coupled with a good grasp of Cantonese.

· 出色的英文书面及口语能力并理解广东话

· Diploma/Degree in related industry beneficial however not essential.

· 相关领域学士学位更佳但非必要

· IT skills including MS office (Word, Excel, PowerPoint, Outlook) and FTP site management.

· 掌握MS office(Word,Excel,PowerPoint,Outlook))以及FTP网站管理

· Genuine grasp of how to successfully manage a busy Office and MD while supporting colleagues.

· 能够在有效管理办公室运作的同时兼顾总经理助理级其它员工支持工作

· Communicative at all levels, professional & socially, upholding company culture & image.

· 与各级人员沟通能力,包括职业沟通及社交沟通,维护公司文化及企业形象

· Proven success of managing people, projects, time and yourself

· 成功管理人员,项目,时间及自我管理的经验


Ideally you would have prior experience of running a busy creative, boutique style office; however the right attitude, energy, drive and culture fit will ensure your success in this position.

有管理创意产业办公室经验优先;端正的态度,适合的能力,驱动力及文化适应力是本职位的关键要素。
