于2011年3月,EOS与中国商务部旗下的中贸远大共同出资成立合资公司——中贸友施信用管理有限公司。EOS集团现为此合资公司招募一名董事会秘书。
职位描述:
董事会秘书一职重在承担行政类职责以确保公司高效运行。他/她要确保现有精准文件符合法律要求。董事会秘书要做会议纪要,来确保会议的准确性和实用性并提出建设性政策与实践。此外,他/她将高度参与市场营销和人事招聘等工作。
主要职责包括:
- 协助董事会进行日常办公室管理工作并确保公司符合法律法规要求;
- 在咨询董事会主席后来准备邀请函以及与董事会议相关的文件;做好董事会会议纪要;
- 为组织规章的准备及修正提供协助,协助准备授权书以及公司治理和风险管理指南;
- 编制并管理公司文档(公司章程,条例,会议纪要,月报等等);
- 作为集团总部在当地的首要联络人;
- 监理公司办公室协作各方面事宜;恰当的接听并处理电话,问询和请求;
- 组织并协调会谈,会议,展会等;
- 准备会议议程并协助合资公司总经理准备演讲材料等;
- 为管理层安排差旅日程及预订;
- 翻译公司对内对外文件(中译英和英译中);
- 参与会议并提供同声传译;
- 负责对内及对外信息的协调与交流;
- 执行背景调查并呈现调查结果;
- 协助一切市场营销相关项目,活动以及特别事件;
- 进行招聘的初选以协助管理层。
职位要求:
理想的人选应该具备:
- 企业管理,英语或市场营销相关专业本科学位;
- 类似职位三年以上工作经验;
- 具备组织,筹备,档案管理和总体行政管理的基本素质;
- 具备企业管理与合规的知识和素质;
- 具备高效的组织和事件管理技能;
- 能做到注重细节并高度精确;
- 能自我激励并具创新精神;
- 具有正值诚恳,忠诚独立的个性;
- 具有团队精神和服务意识;
- 具有良好的写作,分析和解决问题的能力;

In March 2011, EOS set up a Joint Venture with CreditCN, a subsidiary of the Chinese Ministry of Commerce. For the Joint Venture, the EOS Group is searching for a Board Secretary in Beijing.
The Position:
The Board Secretary is responsible for providing administrative services in order to ensure the effective and efficient operation of the Joint Venture. He/she is responsible for ensuring that accurate and sufficient documentation exists to meet legal requirements. The Board Secretary records minutes of meetings, ensures their accuracy and availability and proposes policies and practices. Additionally, he/she is highly involved in marketing projects and HR recruitment process.
The key responsibilities include:
- Assisting the board with daily office management and ensuring compliance with statutory and regulatory requirements;
- Preparation of invitations and documents for board meetings in consultation with the chairman of the board; taking minutes at board meetings;
- Assisting with the preparation and amendment of organizational regulations, allocation of authority document, corporate governance and risk management guidelines;
- Compilation and management of company files (Articles of Association, Regulations, Minutes, Monthly Reports, etc.);
- Acting as one of the main contact person for headquarters;
- Overseeing all aspects of general office coordination; answer telephone calls, enquiries and requests, and handling them when appropriate;
- Setting up and coordinating meetings, conferences, fairs, etc.;
- Preparing agendas and assisting the General Manager of the Joint Venture with preparation of presentation materials, etc.;
- Arranging travel schedules and reservations for management;
- Translation of internal and external documents (Chinese/English and English/Chinese);
- Attending and providing simultaneous translation at meetings;
- Coordination and communication of internal and external information;
- Carrying out background research and presenting findings;
- Assisting in all marketing related projects and activities as well as special events;
- Preselecting of candidates in recruitment process to support management.
The Requirements:
The ideal candidate should possess:
- Bachelor degree in Business Administration, English, Marketing or equivalent;
- At least three years’ professional relevant experience in a comparable position;
- Knowledge of principles and practices of organization, planning, records management and general administration;
- Knowledge of corporate governance and compliance;
- Very effective organizational and time management skills;
- Attention to detail and high level of accuracy;
- Self motivated and self starter/initiative;
- Integrity, loyalty and discrete personality;
- Team work and service orientation;
- Very good writing, analytical and problem-solving skills;
- Effective verbal and listening communications skills;
- Native Mandarin speaker;
- Very good English skills, both written and spoken;
- Proficient in MS Outlook and MS Office modules (Excel, Word, Power Point);
- Cultural awareness and sensitivity;
- Overseas study and Joint Venture experience is an advantage.
