VP副总助理

PURPOSE OF JOB:
1. Business Head Personal Assistant
Be fully in charge of biz schedule management and travel arrangement; Compile resolutions and supporting documents for approval; Organize and coordinate Head daily routine/biz working schedule; consolidate data analysis and business report; Other necessary operational assistance assigned.
2. Support sub-managers in organization
Support sub-managers with travel arrangement; Handle phone calls & key visitors; Compile resolutions and supporting documents for approval; Other necessary operational assistance assigned. Support with ordering in SAP when needed.
3. Administrative Management
Secure and monitor smoothly administration operation management in organization; Initiate & organize internal meetings & external trade gathering meetings, in terms of meeting arrangement, proven tracing action follow-up reports etc.; Perform as department facilitator to coordinate within different functions among organization and liaison with other departments when is needed.
4. Process, Policy and Regulation
Follow and review work process in the office administration area; Explain, implement and monitor company policy and regulation
5. Services
Plan, organize and improve administrative services
Sub-role and responsibilities to support Sourcing and SCM
1. Follow company policy and work process to ensure daily administrative works run in a smooth way.
2. Place purchase orders in iShop and HR OA system for employees in Operations, and prepare payment documents accordingly.
3. Meeting and training arrangement for department meetings, all hands meeting etc. as needed .
4. Website maintain on SeConnect
5. Travel request approval in system right after the approval from manager .
6. Fulfill other relative tasks assigned by head in accordance with business needs
