Responsibilities:

1. Based in-house at Bestseller, within the Office Operations and Facilities team, the Project Manager will be confident with coordinating information, for multiple ongoing projects with internal and external parties
2. Internal parties will include direct co-ordination and communication with Bestseller IP, IT, Facilities, BS suppliers (eg. Security) and team head of departments
3. External parties will include direct coordination and communication with GCs, external project Managers, direct vendors, fire services, HVAC vendors, local construction committees approval, etc
4. Attend and take note of new office decoration projects alongside the Operations and Facilities Manager.
5. Strong understanding and proven experience with office decoration “project life cycle” ie. Confident with knowledge of what to expect as next steps, actions by which party, lead-times required etc
6. Use the SOW provided by Operations and Facilities Manager – and create timeline + action plan for each party involved in the project
7. Lead and manage timeline created – clearly and effectively issuing deadlines to each party
8. Proactively chasing each party, for actions due on timeline- well in advance of the deadline shown.
9. Clearly communicate any discrepancies and issues to Operations and Facilities Manager
10. Clearly communicate each parties SOW to them via email and face-to-face meeting
11. Confidently read floor plans and layouts - and attend GC,*** and external PM tender meetings and contribute to selection process (overall process is managed by Bestseller IP team)
12. Have a sharp eye for detail- and check all construction drawings, SOW and execution and ensure Bestseller’s best interest and high quality standards are maintained at all times
13. Attend regional and other site meetings and be flexible to travel according to project management needs
14. “Hands on” site management once project goes live on site - checking site, checking vendors work against agreed SOW, managing timeline and issuing actions – swiftly dealing with issues or escalating to Operations and Facilities Manager.
15. Create weekly reports (for multiple projects) for senior management weekly reporting - on status of projects and any delays, issues, etc.

Requirements:

1. MUST be confident- in verbal and written communication – both English and Chinese
2. Knowledge from office specific project management and the focus on end users experience will be preferred.
3. Bachelor degree within the areas of Building/construction or engineering
4. If you have craftsman experience (manufacturing, materials, factory works) it will be seen as an advantage.
5. Strong Microsoft Excel and PowerPoint skills
6. Minimum 3-4 years experience of handling fast moving projects – especially within office fit out or retail / stores fit out
7. Proven example of projects managed will need to be shown
8. Sharp eye for detail when vetting drawings, quotations,etc
9. Experience with driving process development and collaboration between different parties is essential
10. Proven ability of creating and managing timelines – especially on multiple projects
11. Must be confident with reading construction and MEP quotations
12. Strong understanding of construction budget process
13. Strong understanding of project life cycle – solid knowledge of each stage and what to expect internally and with external parties eg. GC, Fire services, building management, HVAC etc
14. Proven examples of managing office fit out GC and onsite teams is essential – with proven examples
15. Extrovert, “hands on approach”, engaged and a willing to go the extra mile.
