Office Administrative Support

Summary:-
-On-duty Receptionist During Regular Office Hours: 9AM – 6PM on-duty at reception desk.
-Gating main entrance of the office with visitor registration/identification.
-Host visitors in meeting rooms and notify IHS employees being visited.
-Answer all incoming calls at switchboard and re-direct calls to responsible employees in the office.
-Take first-level actions for general inquiries through incoming calls at switchboard and collect adequate information for follow-up.
-Receive telephone and FAX messages and re-direct appropriately for follow-up.
-Receive/send mails/courier services for the office and distribute received mails to right consignees.
-Provide instructions via e-mail or phone call to visitors regarding the access to office.
 
1. Main Activities
-Consolidate office monthly expense statement and invoices; coordinate account payables between finance dept. and local suppliers.
-Maintain the office security system and manage entry card distribution/filing.
-Maintain conference room reservation calendar.
-Logistic support for internal or client on-site meetings (beverage, refreshments, working meals, projector …)
-Order, distribute and inventory office supplies.
-Monitor the use of office supplies and equipment; coordinate repair and maintenance when required.
-Supervise office cleaners for housekeeping.
-Supervise contractors for office plant placement and maintenance
-Other office administrative support as requested.
-Systematically track office staff vacation records.
 
2. Site Activities & Team Building Coordination
-Plan and organize all teambuilding activities for the staffs in the office. Duties including pre-event communication with employees, teamwork assignment, contracting external service providers (if needed), establishing schedule and agenda, negotiating cost, event management, billings/payment and expense report.
-Plan and organize all major site activities for the office including quarterly communication, communications with specific company visitors, lunch and learn, annual dinner, monthly birthday celebrations.
-Maintain office photo gallery for all on-site and off-site activities.
